Annual Moodle Training: How to Preserve Last Year's Evidence

Recurring training needs two separate answers: has the learner met this year's requirement, and what did they complete in an earlier year? Design the reporting process to preserve both before updating or resetting a course.

This is a records-design problem. A course titled “Annual Training” becomes ambiguous when its content, assessment, and completion requirements change over time.

Define the evidence before the next training cycle

Start with the questions your managers need to answer. A suggested evidence model includes:

Evidence fieldQuestion it answers
Learner identifierWho completed the requirement?
Course and version identifierWhich training content applied?
Training cycleWhich year or renewal period does it cover?
Completion criteriaWhat counted as completion?
Completion dateWhen was the requirement met?
Assessment result, where requiredWas the required standard achieved?
Exception or approvalWas an alternative accepted, and by whom?

This is a proposed records model, not a list of fields guaranteed in every Moodle report. Confirm where each item will live in your installation or reporting process.

Distinguish completion from activity

Moodle's course completion reporting depends on configured criteria, which can include activity grades or manual confirmation. Moodle also provides activity logs showing recorded actions. These answer different questions: opening a course does not, by itself, demonstrate completion or competence. Consult the documentation for course completion and logs.

Review the evidence against the training objective. If a policy requires an assessment, a page-view record is an incomplete answer.

Choose a versioning approach deliberately

One possible approach is a separately identified course for each annual cycle. Another is a managed recurring-training process that preserves historical attempts and renewal records. The right choice depends on the Moodle edition, plugins, reporting requirements, and administrative workload.

Before deciding, ask:

  • Can an administrator explain a past completion without opening the current course?
  • Can reporting distinguish an expired completion from a missing completion?
  • What happens to records when content or pass criteria change?
  • What history would be affected by a course reset?
  • Who approves exceptions and changes to the annual requirement?

Validate these answers in a test environment before changing the live training cycle.

Work through a simple example

Imagine a business that updates its customer-handling training every January. A learner completed the 2026 version in March. The 2027 revision introduces a new assessment.

A useful report should identify the March completion as evidence for the 2026 cycle. It should separately show whether the learner owes the 2027 requirement. Editing the course title to “2027” must not become the only way the business identifies its historical content.

Keep a version register that records the approved content, effective date, and completion rules for each cycle. Give someone ownership of that register.

Review the process with a sample learner

Before enrollment opens, walk through a previous completion, a new completion, a failed assessment, and an approved exception. Ask a manager to interpret the resulting report without a verbal explanation from the administrator.

Does a completion record establish compliance on its own?

It establishes the result of the configured completion process. Whether that evidence satisfies a particular requirement depends on the requirement and the quality of the records.

Should we reset the old course immediately?

First determine what the reset changes and preserve the evidence your organization needs. Test the proposed process before applying it to production records.
